This Policy describes how Plutosoft’s AI functionality operates and the safeguards that apply when it is used.
1. Purpose
It should be read together with our Privacy Policy, our Information Security Overview and any applicable End User Licence Agreement, which contain additional information regarding privacy, information security, data handling and the use of the Plutosoft platform.
Use of AI Functionality is subject to separate terms relating to licensing, usage limits, credit allocations and pricing. Customers will be required to accept those terms on the Plutosoft store before activating or using AI Functionality.
2. Responsible and Ethical AI
We are committed to the responsible and ethical use of AI. Our approach is guided by the following principles:
- Customer Control – AI Functionality is optional and remains under the Customer’s control.
- Australian Processing – Customer Information submitted through AI Functionality is processed within Australia.
- No Model Training – Customer Information is not used for the training or fine-tuning of AI models.
- Purpose Limitation – Customer Information is processed only for the purpose of performing the requested AI Functionality.
- Security and Privacy – Customer Information is protected through enterprise-grade security and encryption controls.
- Human Oversight – AI assists Users but does not replace professional judgement or human review.
3. What Plutosoft AI Does
Plutosoft AI provides optional functionality to assist Users with tasks such as:
- drafting file notes;
- summarising meetings, transcripts and client information;
- preparing executive summaries;
- improving written content;
- organising information into documents and templates; and
- other AI-assisted functions made available within the Plutosoft platform.
Plutosoft AI is designed to assist Users in completing their work more efficiently. It is not a financial adviser, compliance officer, legal adviser or decision-maker.
Users remain responsible for professional judgement, compliance obligations and final approval of any content.
4. How Customer Information is Processed
When an AI feature is used, Customer Information relevant to the requested AI Functionality is processed to generate the requested response.
Depending on the function being used, this may include:
- user instructions;
- information selected from the Customer’s Plutosoft environment;
- documents, transcripts or file notes;
- audio recordings;
- template instructions; and
- contextual information relevant to generating the requested output.
Customer Information is processed by enterprise AI services for the purpose of generating the requested result and returning that result to the User within the Plutosoft platform.
5. Australian Data Processing
We have deliberately selected AI services and models that support processing within Australian cloud regions only.
Customer Information submitted through AI Functionality is processed within Australia.
We do not send Customer Information overseas for AI processing.
AI-generated responses are returned to the Plutosoft platform for display within the User’s workflow and stored in Australia in compliance with our data residency policies.
6. Model Training and AI Providers
Customer Information processed through Plutosoft AI is not used for the training or fine-tuning of AI models.
We utilise enterprise cloud infrastructure and AI services provided through trusted technology providers, including Microsoft Azure, Amazon Web Services (AWS) and Oracle Cloud Infrastructure (OCI). AI Functionality utilises artificial intelligence models and technologies from OpenAI, Anthropic and such other models we may select.
When Customer Information is submitted through AI Functionality, it is processed solely for the purpose of performing the requested task and generating the requested response.
We assess the privacy, security, contractual and data handling commitments of infrastructure providers and AI providers before making their services available within the platform.
7. Security and Encryption
We apply our existing security framework to AI-enabled services.
Customer Information exchanged between Plutosoft and AI services is encrypted during transmission using industry-standard encryption protocols.
Customer Information stored within the Plutosoft platform is protected through security controls, including:
- encryption;
- access controls;
- authentication mechanisms;
- monitoring and logging;
- supplier governance; and
- incident management processes.

9. Human Review Requirement
AI-generated content is a draft or suggestion only.
Before relying on, communicating or saving AI-generated content, Users should review it for accuracy, completeness and appropriateness.
AI-generated content should not be treated as a final approval of:
- financial advice;
- compliance outcomes;
- legal interpretations;
- investment recommendations; or
- any other professional decision.
10. Accuracy and Limitations
AI systems may produce outputs that are incomplete, inaccurate or inconsistent with the source information provided.
The quality of results may be affected by factors including:
- inaccurate source information;
- poor-quality recordings or transcripts;
- unclear instructions;
- insufficient context; and
- limitations of the underlying model.
We do not guarantee that AI-generated content will be error-free, complete or suitable for any professional, compliance or business purpose.
11. Customer Responsibilities
Each Customer remains responsible for:
- determining whether AI Functionality is appropriate for its business;
- configuring access to authorised Users;
- reviewing and approving AI-generated content;
- ensuring it has obtained any consents required from End Clients before using AI Functionality and, where applicable, approval from their Australian Financial Services Licensee;
- complying with applicable privacy, regulatory and record-keeping obligations; and
- reporting suspected privacy, security or AI-related issues to Plutosoft.
12. Changes to AI Services
We may change AI Functionality, AI models, technology providers or supporting technologies from time to time to improve performance, functionality, security or availability.
We may also update this Policy to reflect changes to our AI practices, technology providers, legal requirements or operational processes.
The current version of this Policy will be made available on our website.
Where a change materially affects a commitment contained in this Policy, we will update this Policy and publish the revised version on our website.
14. Definitions
For the purposes of this Policy:
AI Functionality means any artificial intelligence, machine learning or AI-assisted capability made available by us within the Plutosoft platform.
Customer means a person or organisation that has entered into an agreement with Plutosoft for the use of the Plutosoft platform or AI Functionality.
Customer Information means any information submitted by a Customer for processing through AI Functionality, including End Client information, documents, file notes, transcripts, recordings, data stored within the Plutosoft platform and AI-generated outputs.
End Client means a client, customer, member or other individual whose information is stored, processed or managed by a Customer using the Plutosoft platform.
User means an individual authorised by a Customer to access and use the Plutosoft platform on behalf of that Customer. For the avoidance of doubt, a User does not include an End Client accessing the Client Hub portal.
